One of the most common questions we get at Bravos is: "How many tables and chairs do I actually need?" It's a great question — and getting it wrong can mean scrambling for extra seats on the day of your event, or overpaying for equipment you don't use. Here's how to get it right.
Start with Your Guest Count
Your guest count is the foundation of every rental calculation. Use your expected attendance — not your invitation list. A realistic estimate is usually 85–90% of invited guests actually showing up for local events. For a quinceañera or family reunion where most guests have confirmed, you can plan for closer to 100%.
How Many Chairs Do I Need?
Plan for 1 chair per guest, plus a 10–15% buffer. This accounts for late RSVPs, unexpected plus-ones, and guests who move chairs around during the event.
Example: 80 expected guests → rent 90–95 chairs.
If your event has a ceremony and a reception (like a quinceañera or wedding), remember you may need chairs for both spaces — or plan to move chairs between areas with enough help on hand.
How Many Tables Do I Need?
Our 6-foot folding tables seat 6 guests comfortably — 3 on each long side. So your base dining table calculation is:
- Divide your seated guest count by 6
- Round up to the nearest whole number
- Add extra tables for non-dining purposes (see below)
Example: 80 guests ÷ 6 = 13.3 → round up to 14 dining tables.
Don't Forget Extra Tables for These Uses
Most events need additional tables beyond dining. A good rule of thumb:
- Buffet or food table: 1–2 tables depending on menu length
- Dessert / cake table: 1 table
- Gift table: 1 table
- DJ or speaker table: 1 table (if using a PA systems)
- Beverage / drink station: 1 table
For an 80-guest event, you'd typically want 14 dining tables + 4–5 activity tables = 18–19 tables total.

Here's a simple reference for common event sizes:
- 30 guests: ~35 chairs, 5 dining tables + 3 extra = 8 tables total
- 60 guests: ~70 chairs, 10 dining tables + 4 extra = 14 tables total
- 100 guests: ~115 chairs, 17 dining tables + 5 extra = 22 tables total
- 150 guests: ~165 chairs, 25 dining tables + 5 extra = 30 tables total
